Committee

The Newman Pre-school Playgroup is managed by a parent committee (trustees) whose main roles encompass the employment of the staff, the maintenance of the financial stability of the playgroup and the organisation of any social and fundraising activities. The committee is not involved in the organisation or care of the children in the daily playgroup sessions, but employs our Playgroup Leader, Heather Grant, and her staff. However, the committee endeavours to give them full support and encouragement and to maintain overall responsibility for the playgroup’s management.

The committee is composed of volunteer parents/carers whose children attend playgroup, and may also comprise Affiliate Members (in some cases, past parents) who do not have a child currently in attendance, but who support the pre-school. They are hopefully able to serve on the committee for a minimum of 12 months. No paid member of staff can be a voting committee member, but Heather and/or her deputy attend the committee meetings. This enables ideas to be shared with staff, all viewpoints to be heard, and allows the committee to be fully aware of day-to-day issues.

The committee comprises five officers: a Chair, Treasurer, Secretary, Fundraiser and Data Controller, plus other general members; not less than 2 and no more than 9. Committee meetings are held at least once a term. The Annual General Meeting is held in April each year, at which time the accounts are read and the activities and progress of the playgroup are reported. All parents of the playgroup are welcome to attend. The AGM is also an open evening, which provides parents with the opportunity to view some of the children’s work, the activities they enjoy and to talk to the staff.

The committee plays a crucial role in the existence of the charity. Being on the committee gives a great opportunity to learn some new skills, meet new people and be involved in the running of your child’s setting, but the position does carry a number of responsibilities which can sometimes be daunting for a volunteer to take on. If you would like to join the committee but wish to know some more details first, please contact the chairperson who will forward our Introductory Trustee Guide and other useful information.
